Dear Valued Board Members:
We are always committed to providing the best services to you and your association. Communication is a key part of this relationship and we strive to be as transparent as possible. We wanted to take a moment to share some recent updates that may or may not affect your association and your board of directors.
Starting Immediately: we will no longer be providing more than (1) inspection monthly. This is due to the reality that the gas prices have doubled and this causes the same issue that each of you are having when at the pump, just on a much larger scale. This is not a permanent change, and once gas prices go back down, we are happy to resume your contracted monthly inspections schedule as you are accustomed to.
Starting Immediately: The online portal will no longer have the “reports” function. This is due to many reasons. The reports were becoming very confusing to board members even after extensive education and explanation. We know that it would seem like you have no access to the association’s information, but the board can still see everything that runs through our portal. The “Vendors” tab will still show you all of the payment and invoice information. The “Units” section will allow you to see who has made payments and how they made the payments, etc. The monthly financials will still contain the required reports such as the Profit and Loss, Banks Statements, etc. so that you can view all of your association’s financial information at the end of each month.
Our Staff: A lot of times we receive emails from board members asking why we have such a high turnover rate. This is actually the opposite of what is really happening! Since 2014 our team has grown from 2 staff members to 15 staff members. (and we are still growing!) When you see different members of our staff at meetings, they are not the only ones who work for us! These days, if their schedule provides for it, we like the team members that deal with certain items on the agenda to attend your meetings, that way if there is a specific question about Accounting for example, we would have someone from the accounting department at your meeting so that you could get your answers directly from them. Now, sometimes due to the high volume of meetings we attend, it doesn't always work out that way. That is why the team members who attend take detailed notes for the rest of the team.
Speaking of Growth: Our company started out as a one-man operation and has grown leaps and bounds over the years. We currently manage about 60 communities nationwide. We manage over 10,000 individual homes and have communication with over 350 board members daily. Our team members attend professional training, are up on all the latest laws for the state of Indiana and beyond. We love education! This shows with the amount of educational documents that we have available on our website for anyone interested in learning. If you are interested in learning more about any aspect of your association, please reach out to us or visit the “HOA Education” link above. We are now scheduling onboarding meetings for new board members where we will explain the entire online portal, along with what our team does and how to contact them.
Thank you for your time and if you have any questions about anything above, please let me know and I am happy to assist.
